WHO WE BUILD FOR / GYMS & FITNESS STUDIOS
Websites and automation for gyms and fitness studios
Memberships lapse quietly and trial visitors walk out the door forever. We build the site people join through — and the workflows that remind, follow up, and refill the class before you notice the gap.
WEBSITE ONLY · AUTOMATION ONLY · OR JOINED — EVERY SPEC SOLD SEPARATELY
Sound familiar?
What's still done by hand
Every one of these is a workflow waiting to exist. None of them needs new software your team has to learn.
THE REAL COST
A lapsed membership noticed three weeks late is a member you're now winning back instead of keeping. Renewals, trial follow-ups, and class fills all decay by the day — and they're exactly the messages staff never get to between sessions.
- Renewals are tracked in a register — and noticed after they lapse
- Class bookings happen in a WhatsApp group nobody can search
- Trial visitors leave, and nobody follows up before the motivation fades
- Schedule changes get announced on a poster by the door
What we'd build
Two pieces — take one, or join them
Each side is a separate engagement with its own scope and price. Plenty of clients start with one and add the other only when it earns its place.
PIECE A — THE WEBSITE
- A site with class schedules and trainer pages your team updates directly
- Trial and membership enquiry forms that capture goals and preferred timings
- Package and pricing pages that answer the comparison questions up front
- Pages fast enough for the phone-on-the-treadmill browse
PIECE B — THE OPERATIONS
- Renewal reminders before expiry, with the offer attached — approved in batches
- Trial follow-up sequences timed to the days after the first visit
- Class booking confirmations and waitlist workflows when slots free up
- A chatbot answering timings, fees, and program questions from your own material
Example workflows
Three we'd start with
Written the way we'd actually spec them — trigger, steps, outcome. Yours would be drafted from your operation, on the call.
WORKFLOW 01
The renewal saver
TRIGGER: MEMBERSHIP EXPIRING IN 7 DAYS
- 01Member gets a renewal reminder with their plan and an offer
- 02Front desk clears the day's list in seconds
- 03Renewals are logged; the rest get one gentle follow-up on expiry day
Memberships renew before they lapse, not after.
WORKFLOW 02
The trial follow-up
TRIGGER: TRIAL VISIT COMPLETED
- 01Next morning: a thank-you with the relevant plan options
- 02Day three: a nudge with a joining offer, drafted for approval
- 03No response in a week → moved to a monthly check-in list
Trial visitors hear from you while the motivation is still warm.
WORKFLOW 03
The waitlist filler
TRIGGER: A BOOKED CLASS SLOT FREES UP
- 01First person on the waitlist gets the slot offer
- 02No confirmation in 30 minutes → next in line is offered
- 03The class sheet updates itself as replies land
Cancelled slots refill themselves before class starts.
Heard all day
The questions your customers repeat
A chatbot grounded in your own pages answers these in seconds, cites the source, and hands anything unusual to your team.
- “What are the membership plans and charges?”
- “What are the timings? Is there a ladies' batch?”
- “Do you have a trial session?”
- “Is there a trainer for weight loss / strength?”
- “Can I freeze or transfer my membership?”
Drawn in ink
What stays human
Automation earns its keep on the repetitive work. These lines don't move — they're where your judgment and your relationships live.
01
Training — programs, form, and coaching stay with your trainers
02
Retention saves — a member hinting at leaving gets a conversation, not a coupon
03
The renewal offer — the system drafts it; you decide who gets what
Fair questions
Asked by gyms & fitness studios
We manage everything on WhatsApp today. Does this replace it?
No — it organizes it. Confirmations and reminders still reach members on WhatsApp; the difference is they're logged, timed, and sent without someone typing them at 6am.
Can members book classes without an app?
Yes. Booking runs through the site and messages — no app installs, no passwords for members to forget.
Our schedule changes weekly. Is that a problem?
That's the point of the CMS piece — your team edits the schedule in minutes, and change notifications can go to exactly the members booked into an affected class.
We run on a member register and WhatsApp. Enough to start?
Yes — the register becomes the source sheet, and every workflow runs off it. Upgrading systems can come later, if ever.
Can class capacity and waitlists really run themselves?
Booked, full, freed, refilled — the whole loop is mechanical, which is exactly why software should do it.
Do we have to take both the website and the automation?
No. Every service is scoped and sold separately — website only, automation only, or a single workflow to start. The two compound when joined, which is why the page shows both, but nothing requires buying both.
Tell us what your team still does by hand.
Thirty minutes. You'll leave knowing what we'd build, what it would cost, and whether it's worth doing at all.
